If you got engaged over the holidays, congratulations! The start of a new year always brings fresh energy, and there’s no better time to dive into wedding planning. Even if your 2026 wedding feels far away, now is the time to start securing your dream team of vendors and mapping out your timeline. Here’s a helpful planning checklist to guide you through the early stages.
1. Start with Your Venue and Date
Your venue determines everything — from your wedding date and guest capacity to your overall design style. Once your venue and date are officially booked, you can confidently move forward with the rest of your vendor team.
2. Book Your Core Vendors Early
After securing your venue, your next step is to lock in the creative professionals who will bring your wedding vision to life. These vendors typically book a year (or more!) in advance, so don’t wait too long.
Here’s who to prioritize next:
- Planner or Coordinator – Whether you’re hiring full-service planning or month-of coordination, a great planner helps you stay organized and stress-free.
- Photographer & Videographer – Your images are one of the few tangible keepsakes from your day. Book early to ensure your favorite artist is available.
- Florist – Florals can completely transform a space and define your wedding’s aesthetic.
- Caterer – If your venue doesn’t include in-house catering, you’ll want to secure one early to guarantee availability.
- DJ or Band – Entertainment plays a major role in your reception’s energy. Many top bands and DJs are booked 12–18 months out.
- Stationer – (Hi, that’s where Interprintations comes in!) Your stationery sets the tone for your wedding long before guests arrive. A professional stationer can help you design a cohesive look that flows from your save-the-dates to your invitations, menus, signage, and beyond.
3. Send Save-the-Dates (8–12 Months Before)
Once you’ve finalized your guest list and wedding date, it’s time to announce it!
Your save-the-dates should be mailed 8–12 months before your wedding, giving guests plenty of time to make travel plans — especially for destination or summer weddings.

4. Mail Invitations (Around 3 Months Before)
Your formal invitations should be mailed about 3 months before the wedding. This gives your guests enough time to respond and make arrangements, and allows you to enjoy the process without feeling rushed.
(Bonus tip: if you’re working with Interprintations, your proofing & production timeline will be built right into your custom proposal!)
5. Set an RSVP Deadline (5 Weeks Before the Wedding)
An RSVP deadline about five weeks before your wedding gives you time to:
- Follow up with any guests who haven’t replied
- Provide accurate final numbers to your caterer, rental company, and venue
- Finalize seating charts, place cards, and day-of stationery
6. Use Your Vendor Team as a Resource
Remember — you don’t have to plan alone! Your vendors are experts in their fields and are happy to guide you through timelines, logistics, and creative ideas that will make your day seamless and memorable. Securing the best vendor team early in the planning process is KEY to smooth wedding plans. Your vendors can help guide you throughout the full process, and will be invaluable when it comes to ensuring everything runs right on schedule!
