Save the Dates: When to Send (and Why Timing Matters for Midwest Weddings)

If you’re newly engaged and starting to plan your 2025 wedding, one of the first items on your stationery checklist will be your Save the Dates.
 
These small cards play a big role — they officially announce your wedding date and give guests the heads-up they need to plan time off, book travel, and mark their calendars.
 
They’re often the first glimpse your loved ones will get of your wedding style, setting the tone for everything that follows — from your invitations to your wedding day itself. But just like every other part of your planning process, timing matters. Sending your Save the Dates at the right time can make all the difference in how smoothly things go.
 
When to Send Save the Dates

For most weddings, you’ll want to mail your Save the Dates 6 to 12 months before the big day.
  • 6–8 months is perfect for local or smaller weddings where most guests live nearby.
  • 9–12 months is best for destination weddings or celebrations with lots of out-of-town guests who’ll need time to make travel arrangements.
If your wedding falls on a holiday weekend or during peak travel months, aim closer to the 12-month mark — it’s always better to give guests extra notice than not enough.

While the USPS works hard to keep mail moving, delivery times can still be unpredictable, especially during the holiday season or busy mailing periods. Save the Dates can sometimes take several weeks to reach guests, depending on where they live. That’s why it’s smart to build in a little extra time when planning your stationery schedule.
 
It’s also important to consider local events that may overlap with your wedding weekend. For instance, May in Indianapolis is famously busy because of the Indy 500 — hotels book up fast, and rates rise quickly. If your wedding falls near a major local event, sending Save the Dates early helps your guests secure accommodations before things fill up.
